We’re expanding our team and looking for a motivated, enthusiastic & committed team member to join as Studio Coordinator at our beautiful studio in Mosman.

The role is Permanent Part Time with potential to go to full time in 2025 – however, initially you will be working Mon, Tues, Wed in our studio. The role could suit working mum or someone looking for a career change into the interior design industry wanting to learn more about the ins and outs of how a design studio works.

Job Description

A bit about you….
3-5 years customer service or admin experience minimum
Experience with Xero required
Proficient in Microsoft Suite & Google Workspace
Must have experience with Apple.
Attention to detail and problem-solving skills.
Knowledge of the interior design industry and trends a plus but not necessary
Ability to work independently and as part of a team.

A bit about what you’ll do each day….

Admin Support for the Design Team
Sourcing Support: Assist with collating samples, preparing presentation boards, collecting & returning samples to our suppliers.
Phone Support: Assist with customer service enquiries, booking meetings, appointments, and events.
Load client and project data into speciality design software

Project Coordination:
Assist with the planning and execution of interior design projects.
Coordinate with suppliers, contractors, and clients to ensure project timelines are met.
Prepare and distribute project documentation, such as mood boards, design plans, and cost estimates.
Collect and compile client feedback in meetings where needed

Design Support:
Occasionally provide support to the design team, including research, sourcing materials, and preparing presentations.
Coordinate team activities and meetings, ensuring everyone is informed and prepared.
Assist with onboarding new team members, including training on studio procedures and software.
Prepare an inventory list of all furniture and décor items to be delivered.
Book loading docks and ensure smooth install day
Coordinate with the client to ensure access to the property on install day

Process purchase orders, invoices & track expenses.
Preparation of key reports as needed.
Coordinate the procurement, delivery, and installation of furniture, fixtures, and materials.
Manage relationships with suppliers, vendors, and shipping companies to ensure timely delivery.
Track shipments and handle any issues related to delays, damages, or returns.
Maintain an inventory of stock, ensuring stock levels are adequate

Customer Service:
Serve as the primary point of contact for clients, addressing enquiries, concerns, and requests.
Handle customer complaints and resolve issues in a professional and timely manner

Office Duties:
Check mailbox
Maintain office supplies inventory and place orders as needed.
Prepare meeting rooms ahead of client meetings + take coffee orders
